Care Center Administrator 

Location: WomanCare Centers
Department: Women’s Health / OB-GYN Practice 

Position Overview:
 
The Care Center Administrator is responsible for overseeing the daily operations, financial performance, and staff management of a busy OB/GYN practice. This role ensures the practice operates efficiently while delivering an exceptional patient experience and maintaining compliance with healthcare regulations. 

The ideal candidate is a proactive healthcare operations leader who can manage administrative functions, support providers, optimize workflows, and collaborate with internal teams and external partners to ensure the highest standard of patient care. 

Key Responsibilities: 
Practice Operations & Leadership:
  • Oversee and actively participate in all aspects of medical office administration and daily operations. 
  • Supervise clinical and administrative staff, including scheduling, performance management, hiring, and retention. 
  • Foster a collaborative, patient-focused culture among providers and staff. 

Financial & Performance Management:
  • Analyze weekly financial and productivity reports to monitor practice performance. 
  • Coordinate financial and productivity reporting for physician partners in collaboration with a third-party staff accountant. 
  • Oversee revenue cycle management and banking processes in partnership with an external RCM team. 
  • Monitor accounts payable and receivable with support from the centralized AP system. 

Staffing & Human Resources:
  • Support recruitment, onboarding, and training of staff and providers in collaboration with external recruiting and HR partners. 
  • Ensure compliance with employment policies and organizational procedures. 

Compliance & Regulatory Oversight:
  • Implement and reinforce compliance, IT, risk management, and operational policies. 
  • Maintain knowledge of insurance guidelines, payer policies, coding updates, and fee schedule changes. 
  • Coordinate annual OSHA training and other required regulatory trainings. 
  • Manage hospital credentialing for eligible providers. 

Patient Experience & Practice Support:
  • Address and resolve escalated patient concerns in a professional and timely manner. 
  • Maintain strong communication with physician partners and leadership teams. 

Facility & Vendor Management:
  • Oversee facility operations, including asset and equipment management. 
  • Manage medical and office supply inventory. 
  • Coordinate relationships with local vendors and service providers. 
 
Qualifications: 
Education:
  • Bachelor’s or Master’s degree in Healthcare Administration, Healthcare Management, Business Administration, or related field. 

Experience:
  • 3–5+ years of medical practice management experience required. 
  • Experience in OB/GYN or Women’s Health preferred. 

Technical Skills:
  • Advanced experience with Practice Management and EMR systems. 
  • Experience with Athenahealth strongly preferred. 
  • Exposure to QuickBooks, Yooz, Salesforce, and UKG Pro preferred (training provided).

  • Strong skills in team building, negotiation, conflict resolution, and decision-making. 
  • Excellent organizational, analytical, and problem-solving abilities.
