Job title: Clinical Manager.
Reports to: Practice Administrator.
 
Job Purpose:
  • The Clinical Manager reports to the Practice Administrator and is responsible for overseeing the daily operations of the clinical team. 
  • This role provides direct supervision, training, and support to clinical staff while maintaining proficiency in all clinical functions to ensure seamless patient care. 
  • The Clinical Manager serves as both an operational leader and a key source of personal and professional support for staff, fostering a collaborative, high-performing, and patient-centered environment.
  • The Clinical Manager also oversees OSHA compliance requirements and serves as the designated compliance contact for the practice.
 
Duties and Responsibilities
Primary responsibilities include, but are not limited to:
 
Support Staff Oversight:
  • Supervise, mentor, and support all clinical support staff, including nurses and medical assistants.
  • Train and onboard new employees; provide ongoing education and in-service training. 
  • Evaluate staff competencies and conduct performance reviews in collaboration with leadership. 
  • Monitor attendance, manage scheduling adjustments, and ensure adequate daily coverage.
  • Address employee concerns and foster a positive, team-oriented work environment.
  • Delegate daily responsibilities (stocking, cleaning, ordering, etc.) and ensure completion. 
  • Serve as a consistent source of guidance, morale support, and conflict resolution. 

Provider Support:
  • Maintain regular communication with providers to anticipate and meet clinical needs. 
  • Ensure exam rooms, staff, and schedules are aligned to support efficient patient flow. 
  • Assist providers during in-office procedures and surgeries as needed. 
  • Coordinate pre- and post-procedure processes, including patient follow-up care. 
  • Troubleshoot workflow issues in real time to minimize disruptions to patient care. 
  • Act as a liaison between providers and clinical staff to ensure clear communication. 

Equipment and Clinical Operations:
  • Maintain proficiency in all clinical roles and step in as needed to support operations.
  • Oversee preparation and maintenance of clinical and surgical equipment. 
  • Monitor supply levels and manage ordering for general and procedural inventory. 
  • Ensure proper handling, cleaning, and storage of equipment and instruments. 
  • Support safe and effective use of specialized equipment (e.g., colposcope, LEEP, NovaSure, etc.). 
  • Ensure compliance with safety protocols, including use of PPE. 

Additional Duties and Compliance:
  • Oversee OSHA compliance and serve as the practice’s compliance contact. 
  • Manage clinical workflows within the EMR system (e.g., Athena), including inbox/task delegation. 
  • Handle patient concerns, complaints, and service recovery efforts. 
  • Assist with emergency preparedness and response within the office. 
  • Coordinate and lead regular clinical meetings and monthly in-services. 
  • Ensure administrative or leadership coverage until the last patient is discharged. 
  • Address lab errors, discrepancies, and follow-up actions. 
  • Maintain strict confidentiality of patient and personnel information.
  • Perform other duties as needed to support overall practice operations.
  • Serves as a flexible, reliable resource to meet the needs of patients, staff, providers, and business partners while consistently representing the office with professionalism and integrity.
 
Qualifications:
  • Registered Nurse (RN), Licensed Practical Nurse (LPN), or Certified Medical Assistant (CMA) with a minimum of 3 years of clinical experience.
  • Prior experience in OB/GYN preferred.
  • Demonstrated leadership experience or strong potential.
  • Strong customer service skills.
  • Proficiency with electronic medical records (Athena preferred).
  • Working knowledge of Microsoft Office (Word, Excel) and general office equipment.
  • Effective communication skills (verbal, written, and interpersonal).
  • Strong organizational and multitasking abilities.
  • Knowledge of insurance processes and basic healthcare operations.
  • Professional phone etiquette.
  • Ability to navigate internet-based systems and tools.
  • Mechanical aptitude for handling clinical equipment.
  • Ability to work collaboratively within a team environment.
 
Working Conditions:
The job is typically Monday-Friday, 8:00am-4:30pm.  Procedures and/or meetings may be scheduled at the beginning or end of the day which may require extended hours.

    • Glucometer.
    • Nitrous Delivery System.
  • Personal protective equipment (PPE), including gloves and safety goggles.
